2. Legal Basis

This policy is issued pursuant to the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong ("PDPO"), in particular Data Protection Principle 5, which requires data users to take all practicable steps to inform data subjects of the purposes for which their data is held, and the classes of persons to whom they may be disclosed.

3. What Data We Collect and Why

Contact form submissions: When you send us a message via our contact form, we collect your name, email address, and the content of your message. This data is used solely to respond to your enquiry. We do not add you to any mailing list without your explicit consent.

Server logs: Our web server automatically records standard access logs (IP address, browser type, pages visited, timestamps). These logs are used exclusively for security monitoring and technical troubleshooting. They are not used for profiling or marketing purposes.

We do not collect any sensitive personal data. We do not use session recording tools, behavioural tracking scripts, or advertising cookies.

4. Cookies

This website uses only essential technical cookies necessary for the site to function. These cookies do not track your browsing behaviour across other websites and do not store any personally identifiable information. No third-party tracking, advertising, or analytics cookies are set.

Your browser may also receive cookies from Google Fonts (loaded from fonts.googleapis.com) for rendering typography. You can prevent this by disabling third-party cookies in your browser settings; this will not affect site functionality.

5. How We Use Your Data

Personal data you provide is used only for the purpose for which it was submitted — responding to your contact request. We do not use your data for marketing, profiling, or any automated decision-making.

6. Disclosure to Third Parties

We do not sell, trade, or rent your personal data to third parties. Your data will not be disclosed to any third party except:

  • Where required by Hong Kong law or court order;
  • To our email service provider (Web3Forms) solely for the purpose of transmitting your contact message to us. Web3Forms processes your submission data and delivers it to our inbox; it does not retain or use it for other purposes.

7. Data Retention

Contact enquiry data is retained for a period of five (5) years from the date of receipt, in accordance with standard business record-keeping requirements. Server access logs are retained for up to 90 days for security purposes. After the applicable retention period, data is securely deleted.

8. Data Security

All data transmitted to and from this website is encrypted using TLS/SSL. Access to any stored personal data is restricted to authorised personnel only. We take all practicable steps to protect your personal data from unauthorised access, disclosure, or loss.

9. Your Rights Under the PDPO

Under the Personal Data (Privacy) Ordinance, you have the right to:

  • Access your personal data held by us (Data Protection Principle 6);
  • Correct any inaccurate personal data we hold about you;
  • Object to the use of your data for direct marketing purposes (Section 26 PDPO).

To exercise any of these rights, please contact us in writing at contact@xex.one. We will respond within 40 days as required by the Ordinance. A reasonable fee may be charged for data access requests in accordance with Schedule 1 of the PDPO.

10. Cross-Border Data Transfer

Your contact form submissions are processed via Web3Forms, whose servers may be located outside Hong Kong. By submitting data through our contact form, you consent to this transfer. We ensure that any such transfer is made in compliance with the PDPO and that appropriate safeguards are in place.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The current version will always be available at xex.one/privacy-policy. The date at the top of this page indicates when the policy was last revised.
